The Project Manager is responsible for taking assigned missions and activations through all phases of the project life cycle including initiation, proposal, planning, execution, performance/monitoring, and project closure. You will apply processes, methods, knowledge, skills, and experience to achieve the mission objectives. This includes having the foundational knowledge of project management, procurement, and execution of any project.

The Project Manager will work together with all departments to evolve execution methods that support our growth and continue to elevate the expression for the clients we represent. Bombshell’s projects cover a wide variety of physical experiential activations including:

 

  • Experiential live events
  • Marketing activations and product launches, including luxury brands
  • Corporate
  • Tradeshow
  • Theatre
  • Museum exhibits

 

Job Responsibilities:

• Manage the end-to-end execution process of assigned projects and activations.

• Ensure the fire team (initial client contact group) meets Bombshell’s high-quality standards to uphold our image as a leader in activations

• Connect with clients to establish trust and develop a good working relationship as well as obtain all information and details required for the execution of the mission.

• Upon approval of the mission, work with the fire team to establish a production timeline and distribute the timeline to all key personnel.

• Confirm visual documentation is being handled by Marketing Design Specialist and is filed from the start of Mission to conclusion and ensure the client has access to photos as necessary.

• Task departments with items needed to be completed for each mission through production meetings, email, verbal communication, and follow-up to confirm completion.

• Work with accounting and Client Services Managers to prepare and send proposals/invoices, SOW’s, and any other correspondence on a timely basis, as well as follow up on all correspondence.

• Oversee routing and approval process for POs and invoices, tracking spending against budget allocations.

• Monitor progression and budgets of missions daily, regularly updating internal teams with project status and install dates.

• Direct associate project managers and production assistants as needed in support of your missions.

• Purchase items for the mission per designer specs and approval.

• Identify and secure talent, negotiate rates, prepare, and oversee contracts.

• Work with the graphic design team to ensure graphics are presented to the client and signed proofs are received with the appropriate time to produce.

• Oversee and document all aspects of the mission to ensure the timeline is adhered to.

• Lead regular meetings with the design team to communicate due dates and deliverables, track project status, and effectively and actively communicate potential project timeline risk.

• Attend meetings with clients as necessary and be prepared to update clients on all mission details.

• Meet with Production Managers to determine crew on each Mission activation and meet with Crew Leads to review all specifics of the entire scope of the load in/load out.

• Prepare load in/load out information for the crew regarding location and travel plans (if applicable).

• Work with venues to ensure all crew names, truck details, load in times, and other information is supplied to the venue.

• Manage on-site installation of the mission (if applicable) and direct and motivate crew during load in/load out.

• Conduct follow-ups with client and production crew to address punch list items and ensure final installs match design intent and meet high-quality brand standards.

• Determine if builds will be stored, shipped, or disposed of prior to load out.

• If shipping or storing items, follow up with production staff on timeline and shipping details and work with the Director of Operations to budget and invoice clients for associated costs.

• Confirm all vendors have been paid and ensure all receipts have been submitted to accounting.

• Prepare postmortems, including issuing postmortem forms to crew members and ensuring their completion.

• Convene with the client to confirm satisfaction of the completed mission.

• Confirm all documents and payments have been finalized and close out all files electronically.

• Set dates for connecting with clients for future business development.

• Bachelor’s degree in a related field.

• Minimum 5 years of experience in project management.

• Strong budget management experience.

• Upholds and conducts business with a high level of integrity.

• Flexible approach to meeting deadlines, effectively managing his/her own resources and timetable to achieve maximum efficiency.

• Complex problem-solving skills, with the ability to coordinate tasks, information, and timelines with internal and external resources.

• Able to interact with clients on all levels.

• Able to read and interpret design drawings.

• Able to read, understand, follow, and enforce office procedures.

• Experience with events, brand activations, and experiential marketing.

• Experience with furniture build, interior design, or theatrical construction a plus.

• Skilled in the use of computers, OS-based operating environment including Outlook, Excel, Word, and PowerPoint.

• Valid driver’s license.

• Travel may be required.
